The mission of the Games and Gaming Round Table is to provide the following:
  • A forum for the exchange of ideas and concerns surrounding games in libraries;
  • Resources to the library community to support the building and maintaining of library game collections;
  • A force for initiating and supporting game programming in libraries;
  • Create an awareness of, and need for, the support of the value of gaming and play in libraries, schools, and related learning communities.
  • Create an awareness of the value of games and gaming in library outreach and community engagement plans.
  • A professional and social forum for networking among librarians and non-librarians interested in games and gaming.

    This is a continuation from the board meeting to further discuss what to do with the $ 2,732 surplus we have for the 2026 budget year. 

    Ideas include but can go beyond:

    • Covering AV & food at ALA Play ( for anyone who attends the event)
    • Volunteer t-shirts for members staffing GameRT booth at Annual 
    • Paying keynote speakers
    • Travel grant to attend Annual 
    • Covering the cost of Annual for smaller publishers

    Please discuss further and if we can reach a consensus we'll vote at Board next month.

    I am inclined towards first paying speakers and second for assisting smaller publishers in getting out to Annual.  A travel grant will have to go through ALA's whole process, and while A/V and food are nice, they're not essential.

    I agree that paying speakers and funding smaller publishers are better uses of this money than is food at the ALA Play event.  I also feel that travel scholarships are a good use of available funds.  My understanding is that ALA Play is at the conference center, with the conference.  It's a conference center, with the contracts it has, with the prices it has and a corking fee to bring in anything external.  The money won't go far at all there.

    Thanks, Danielle! For the AVA, are we trying to project something for attendees? Or, is it a TV? Or, is that so that attendees have wi-fi? 

    I'm sorry for all of the questions, I'm just trying to understand the services it will offer at ALA Play.

    Food is always nice at events. As a librarian, I always made sure to mention when there would be food on any posters, handouts, bookmarks that I made for library programs and it would help get kids and teens to attend. I'm not sure if that would work for a conference, though, haha.

    Hi LeeAnn,

    The AV will allow us to include video games as part of ALA Play, and to invite video games publishers to attend. We had AV and offered video games last year, and it was a hit. Having the AV equipment will also make it easier for us to make announcements. For instance, games publishers who donate to the event at a certain level can have five minutes of time to present to the audience.

    And yes, the same food rules apply to adults at conferences, hahaha. If you feed them, they will come. We had food at Play for the first time last year, and it was very well received.

    Considering this is more of a short term consideration, I'm inclined to cover AV and food at Play. I think it went really well last year, and as Molly mentioned, if we'd like to include more video game publishers in our efforts, this seems like a way to see how practical that consideration might be. Thinking from a membership standpoint, it might also be a draw that brings people unfamiliar with GameRT to Play, which hopefully would result in some new members. 

    I don't know that it would set a good precedent to pay keynote speakers for one year and not able to offer it consistently; same with the travel grant. If this is a surplus we maintain for a bit, then I think it makes sense to make a plan for it long term, once we see how the new budget system for ALA works out. I like the idea of helping out smaller publishers, but that would result in more work for the committee, coming up with a promotion plan and criteria for deciding who to support. But could result in some regular partnerships. So I guess my ranking is:

    1. Covering AV and food at Play
    2. Volunteer t-shirts for booth at Annual
    3. Covering cost for smaller publishers
    4. Travel grant
    5. Paying speakers

    Thinking on this further- the surplus is a short-term situation only for the FY26, not a regular thing. With that in mind I don't think it's worth putting in the work to establish additional processes- considering how (not) quickly ALA moves, we'll probably need to spend the money before we would even have the processes in place. It's only worth considering if we continued having a surplus beyond this year. Therefore my vote is:

    1. covering AV/food at Play   OR
    2. swag for volunteers. 

    I'll note that the swag doesn't need to be only be for Annual volunteers- GNCRT made a pin for everyone who volunteered on a committee and mailed them out, we could do something similar. I think the totals for manufacturing and mailing (first year) were within the surplus we're looking at. 

    All other options would require setting up procedures for application, selection, and pay out. Paying keynote speakers for Mini-con would be the least amount of work for us, so I'd be willing to consider it. I don't see the travel grant or small publisher funding being feasible without Big ALA approval / involvement, which I'm not inclined to take on at this point.

    Yeah, agree... for the travel grant and small publisher stipend, we'd have to have a proposal put together and finalized before Annual so it can be voted on by the ALA awards people and we just don't have the time to do that justice. Also, as has been said above, we don't know if we're going to have this surplus in future years to continue funding either of those things.

    I vote for food/AV for ALA Play or volunteer swag.

    I agree with Rebecca and Liz! If we had the time to do the small publisher stipend work and it would be something we did yearly, I'd be down with that. 

    Since we probably don't have the time and it may not be annually available, I'd rather put it toward ALA Play and cheaper volunteer swag (rather than T-shirts).

    GNCRT's enamel pins for ALL committee volunteers:

    $818.25 to manufacture 300 pins with Minuteman Press (in 2022- expect some inflation)

    Plus expenses to mail them to all members. I don't have access to that spreadsheet anymore, so Tina will have to look up how much that cost. (Estimate  $200 - $300, maybe ? USPS prices about $5.50 per package)

    I can't find on their website initially where they manufacture their pins, but I do wonder how potential tariffs may affect prices for enamel pins at the moment. I know many of the tariffs were halted, but not all of them. That being said, if Minuteman manufactures in the US, or if we can find another supplier that does, it may be a non-issue.

    There's a Minuteman Press not too far from my home in Cincinnati. Though, I also do not know if they make their buttons in US. If you can't find the info in the next couple of days, when I get back to Cincinnati,  I can swing by and ask.
