Discussion Mentor recruitment process

As discussed during the last virtual meeting, I'm sharing the "call for mentors" language with the committee for any suggested revisions before we get going with this year's major matching cycle. As discussed during the last virtual meeting, I'm sharing the "call for mentors" language with the committee for any suggested revisions before we get going with this year's major matching cycle. You can find the text used for the last broad, open call for mentors at http://www.acrl.ala.org/acrlinsider/archives/11497.

The posting in ACRL Insider is a convenient place to link to from briefer emails that you might want to share with other groups when spreading the word. When posted to Insider, notification about the post appears in the RSS feeds of any subscribers and is also shared through ACRL's Twitter account. A summary version, linking to the Insider post, also goes out in an ACRL Update email newsletter (to all members whose communication preferences allow it). The committee chair or I will also share it with the ACRLeads email discussion list (which includes all current ACRL committee and section chairs and other leaders past and present) and the ACRL Forum discussion list, with requests that recipients pass it on to their other email discussion lists.

Let me know if you have any questions, and I'll let Kiyomi take it from here with deadlines and such in the comments.

Discussion Application form revisions for review

Greetings everyone! I have updated the mentor and mentee application forms as discussed. Please review them to ensure I captured everything, and discuss with the group if you have any last minute ideas you want considered.

SurveyMonkey's logic can only direct respondents to other pages, rather than revealing or hiding sets of questions as was described in the revision. I think I've done this in a way that captures the purpose of the logic without adding unnecessary additional pages, but let me know if you have other ideas.

  1. Spectrum Scholar Survey Feedback Discussion

Summary

This year’s mentor training was delayed due to the former trainer retiring and the need for a new trainer to develop material and coordinate availability with ACRL for the training.

Overall people are happy with their experience but would like more guidance and an opportunity to meet in person at ALA Annual, MidWinter, and ACRL conferences.

One mentor and one mentee were unable to connect with their counterpart and David is following up with the mentee to see if we can help them find a new mentor.

Suggestions:

  1. Provide access to previous year’s mentor webinar when mentors are assigned so that they can receive immediate information on how to be a mentor if desired.
  2. Create short guidelines based on this year’s training that can be added to the website for people to refer to throughout the year detailing what our mentors do and do not do (i.e. the terms of the mentoring program.
  3. Find a way to facilitate mentor-mentee meetups at conventions that do not conflict with Spectrum programing, and that are low or no cost to participants.
  4. Call for mentors
    1. Discuss how we will recruit a more diverse group of mentors to help meet the desires of mentees in matching.

Reminders:

March 2018 - we will review the ACRL Conference Travel Grant Application Form

Spring 2018 (TBD)- Work on the project(s) based on the survey results discussed above.

Event October 17, 2017 1pm CST Committee Meeting

This meeting will occur via Adobe Connect October 17, 2017 from 1pm-2pm Central Standard Time.

Important meeting tips from ALA:

Please do not sign-in more than 15 minutes in advance as other groups may be using the room.

Attendees will need a USB headset (and an Internet connection) to utilize the VoIP feature. We recommend that all attendees have headsets with microphones available, and have a current version of Flash player installed. 

This meeting will occur via Adobe Connect October 17, 2017 from 1pm-2pm Central Standard Time.

  1. Adobe Connect has recently updated their software. When you log-in, you may notice a screen asking you to install the add-in. If you click “yes,” the update will install in about 20-30 seconds. You may need to complete the audio setup wizard after installing the add-in.
  2. Use Firefox, if possible -- Internet Explorer and Chrome seem to have some issues.
  3. Make certain you have an updated version of Flash.
  4. Only use PDF or PPT files.
  5. You will need a headset for VoIP. If you are using a machine with a built-in microphone, you will need to disable the built-in microphone and enable the microphone on your headset (a USB headset is best).
  6. Once you enter Adobe Connect (you will sign in as a guest -- so no log-in is needed), you will need to click on the speaker and microphone icons to activate -- both need to be GREEN.
  7. Please allow a few minutes to get in and test your audio, etc. before the start time.
  8. To test audio, click on ‘Meeting’ in upper left corner. Choose the audio set-up wizard. Click through every step, making sure the dropdown is set to your USB headset, and click through to the very last screen. IMPORTANT: You must click all the way through the audio wizard in order to save your selections.

  2. Diversity Alliance mentoring program input (early in the year) (John Culshaw or Kiyomi Deards)(10 minutes)

You might be aware that ACRL launched a new initiative called the Diversity Alliance last year (http://www.ala.org/acrl/issues/diversityalliance) aimed at getting commitments from academic libraries to establish one or more residency positions to “increase the numbers opportunities for professionally underrepresented racial and ethnic groups to gain the knowledge, skills and competencies to thrive in an academic context.” I’ve been told that the ACRL Board of Directors (or at least some of the officers) thought one way that ACRL can support this initiative and the residents is by offering a mentor pairing program like this Spectrum Scholar one. Since this committee already maintains a pool of willing mentor volunteers who have an express interest in mentoring underrepresented racial and ethnic group members early on in their academic library careers, it was suggested that the volunteer pool would probably be shared across the two mentoring programs.

The Board would like to know if this committee would be interested in working on the pairings for this other program or participate in some other way. This is all a very informal inquiry at this point, and any thoughts or questions the committee has can be communicated directly with Executive Director Mary Ellen Davis (mdavis@ala.org, 312-280-3248).
