Committee Charge


The Student and Student Chapter Outreach Committee (SASCO) is charged with the task of developing and maintaining a network of individuals able to promote ALA and NMRT and to work with other NMRT and ALA recruitment efforts to help keep student members informed of various NMRT activities, awards and scholarships and to review/evaluate NMRT's student recruitment efforts.

Major Responsibilities


1. Communicate with library school students on a monthly basis (typically via email with student chapter presidents)to share information about NMRT activities, ALA, professional development, and job searching.


2. Organize a list of volunteers that will be willing to make personal or virtual visits to talk with library school students about NMRT and professional association involvement (Speaker's List).


3. Maintain SASCO website and Handbook entry.


4. Assist in advertising the Student Chapter of the Year Award (SCOTYA).


5. Assist at the NMRT Student Reception.


6. Assist in the Mentor/Mentee Program.


7. Serve as ambassadors for NMRT at every opportunity.


8. Attend ALA Membership Committee meetings.

Type of Recordkeeping


The committee chair maintains correspondence files via email, and other files via Google Docs when appropriate due to its collaborative and shareable nature (contact information for liaisons, gathering general information from student chapters, brainstorming documents, etc.). Reports and other documents created by the committee should be saved on ALA Connect.

Reports and Dates for Submitting Reports


The committee chair submits written reports to ALA Connect as requested by the NMRT Secretary: a Planning Report, Progress Report, and Final Report. When appropriate, articles may be submitted to Footnotes.

General Timetable of Activities:


July


Review all committee information and documents from the previous year’s work; consult with outgoing chair(s) as necessary for clarification.


August


Assign committee members as liaisons to all library schools.


Using previous year’s list of LIS program contacts and the Directory of ALA Student Chapters, identify correct contact information for ALA student chapter presidents and advisors


Chair creates a welcome letter and email template for committee members’ initial contact with student chapters


Committee members contact their assigned library schools to describe the role of the committee and introduce self as liaison to NMRT


Update contact information as needed for student chapter officers and advisors.


September


Request committee members keep track of any questions, comments, or suggestions they receive from students or student chapters, to assist with recruitment and evaluation efforts.


Submit Planning Report via ALA Connect when requested by NMRT Secretary.


October


Chair contacts NMRT board members and committee chairs soliciting announcements to send to student chapters


Chair compiles announcements for student chapters; committee members send announcements to their assigned student chapters (do this about monthly or as needed)


November


Create and/or update a list of “talking points” for volunteer speakers.


Reconfirm availability of volunteer speakers for school visits; request new speakers via NMRT-L to make presentations at their local library school. Send volunteers list of "talking points" on NMRT, and appropriate NMRT brochures.


Request reports from any speakers on results or responses to their presentations about NMRT. This can be written about for Footnotes if appropriate, and will assist in recruitment and evaluation efforts.


December


As needed, assist relevant NMRT committees with preparations for ALA Midwinter


January


Committee members contact their chapters again with a welcome letter and to describe their role as a liaison to NMRT. This is so new students entering LIS programs in the winter/spring semester will be invited to join NMRT; some student chapter officers also switch off in the spring semester.


Request again that committee members keep shared contact list and communication tracking documents up to date, following communications with student chapters.


Midwinter


As needed, attend and assist with relevant NMRT events at Midwinter. Conference attendance is not required of committee members.


February


Submit Progress Report via ALA Connect when requested by NMRT Secretary.


March


Chair contacts NMRT board members and committee chairs soliciting announcements to send to student chapters (do this as needed throughout the year)


Chair compiles announcements for student chapters; committee members send announcements to their assigned student chapters (do this about monthly or as needed)


June


Collect and organize committee files to be transferred to succeeding chair of the committee.


Annual


Submit Final Report via ALA Connect when requested by NMRT Secretary. As needed, attend and assist with relevant NMRT events at Annual. If possible, attend NMRT Student Reception and NMRT Orientation Program. Conference attendance is not required of committee members.
