    Dear ACRL Board of Directors,

The Board is invited to review the attached action request regarding an in-person assessment plan for the 2022 RBMS Conference and have discussion during the period of 10/13/2021 – 10/19/2021. Please reply to this post with comments regarding the proposed request. The Board action request includes two action items:

    • Action 1: That the ACRL Board of Directors approves the above factors are sufficient for making a "Virtual-only" recommendation to the ACRL Executive Board and Director if circumstances warrant, when evident and/or no later than January 14, 2022.
    • Action 2: That the ACRL Board of Directors approves that the ACRL Executive Committee and Executive Director will have the final decision-making authority on the feasibility of the in-person component of the RBMS 2022 Conference and decide no later than January 21, 2022.

Following the discussion period, the Board will take action on the in-person assessment plan for the 2022 RBMS Conference through a virtual vote in Doodle Poll during 10/20/21-10/26/21 and confirm its vote at the next synchronous meeting (January 2022).

    Virtual Voting Processes

As this virtual vote came in before the upcoming Orientation, I am sharing some information on conducting virtual votes. The Board regularly discusses and takes action on items virtually throughout the year. The typical pattern for virtual actions is to post an item for a period (generally one week) of discussion followed by a period (generally one week) of voting. Virtual actions are confirmed at the next face-to-face (or synchronous) meeting during open session, which simply means the Board confirms that they cast the vote virtually. It is not re-voting on an issue. More information on voting can be found on the Board Manual LibGuide. You can also reach out to me if you have any questions on the virtual voting process.

    Thank you,
    Allison

I would like to offer a bit of clarification. Yale Conference Services informed us that they typically contract summer conferences in December. We have set a mid-January date in hopes that the Yale will announce that they will allow summer groups by the end of 2021. If that announcement does not happen (and/or we know it is pending) we may ask for a deadline extension, but for efficiency sake have put for the date of January 14, 2022 as the date by which we hope to make this decision.
    Thanks.
    Jay

This seems like a well-reasoned and considered proposal. I'm grateful to RBMS for being so thoughtful in their deliberations.

This makes sense to me, and I appreciate the consideration being given to the different options and timelines during this transitional phase when we are still not sure how in person vs virtual events can best be offered.

The plan for how to evaluate and when to take action is clear and well thought out. Makes sense to me.
