  • 1.  Policy and Planning Committee Business for the Year

    Hi!

    I'm sorry for the long message, but I'm posting to get a start on our work on the ALCTS CMS Policy and Planning Committee, along with some explanation of our responsibilities, especially for those of you who are new to the committee.

    The committee has two main responsibilities, both concerning CMS Interest Groups. For a list of ALCTS CMS IGs, please see the file entitled "Schedule of CMS Interest Group Renewals and Liaisons_2019" in our Connect community library (please see the more recent one). The first responsibility is to review, as a group, Interest Group petitions for renewal submitted by the chairs of the IGs to us according to the schedule posted in that document.  In case you're curious, the form the IG chairs must submit can be viewed in the library as well (entitled "Form used for IG renewals"). This year, we have an unusual situation where three IGs are up for renewal:

    Collection Development Issues for the Practitioner IG
    Chief Collection Development Officers IG
    Collection Management in Public Libraries IG (joint group with RUSA CODES)

    I have already contacted the chairs of these three IGs, and they will submit the completed forms to me by Midwinter, in hopes that we can each review them before meeting at Midwinter during the ALCTS CMS All Committee Meeting time. Often, however, not enough members of the committee plan to attend Midwinter to make a meeting worthwhile, in which case we would handle the reviews by email (or audio/video conference if necessary).  We just need to make sure we can submit our report to the CMS Executive Committee before Annual.

    Our second main responsibility is for each of us to act as a liaison to a CMS IG.  Please see the list of IGs and volunteer to serve as liaison to one of the IGs without an assigned liaison.

    Below are the responsibilities of a liaison:

     Liaisons confirm viability of an IG and serve as primary points of contact for that IG by completing the following: 

    1. As liaison, each Planning Committee member contacts the Interest Group Chair, and attends the IG meeting at ALA Midwinter and ALA Annual meetings if possible. 
      • Contact prior to ALA Midwinter to request information about program.  (IG programs at Midwinter are encouraged, but optional)
      • Contact prior to ALA Annual to request information about program
    2. The liaison brings to the attention of the CMS Planning Committee any concerns regarding the Interest Group including lack of volunteers to serve as Chair, no meeting held at ALA Annual, or potential for overlap with another Interest Group either in CMS or another unit in ALCTS
    3. Request that the IG Chair complete a report after Midwinter and Annual meetings and email the report to liaison and CMS Planning Committee Chair who forwards to CMS Executive Committee

    Thanks for the update!

    I'd be happy to serve as liaison for the Chief Collection Development Officers IG.

    I plan to attend Midwinter.  Do we have any idea yet of when our meeting will take place?

    We usually try to meet on Sunday during the CMS All-Committee Meeting slot.  That slot is typically scheduled from something like 8:30-11:30, with the Executive Committee usually meeting at 10:30. So I would pencil in 9-10 on Sunday morning. We will, of course, confirm any meeting plan closer to the conference.

    Hi Michael,

    I'll volunteer to be the liaison with the Collection Evaluation and Assessment IG. 

    I'm not yet sure if I will be attending midwinter this time. This is the second year of my second term on this committee and I've missed a couple of conferences since I've been a member, but I've yet to attend one of our committee meetings where we've had more than three members present. (I would hasten to add that most of the other committees also did not seem to be meeting in person - it's common to see a large meeting room full of empty tables in that Sunday morning meeting slot!) This committee seems to manage fairly well without the conference meeting, though I do think it is helpful in reviewing the IG if the liaison has actually attended the IG meeting at least once or twice. My $0.02 worth.

    Thanks, Jan!  I'll add your name as liaison to the Collection Evaluation and Assessment IG.

    My experience with the committee has been similar to yours, and I agree that we can work well without meeting.  I plan to be at Midwinter and Annual, and will be happy to meet if any members would like to, but I certainly will not insist on a meeting.
