  • 1.  Does your library automatically add patrons to mailing list(s)?

    According to ala.org/advocacy/privacy/FAQ:

    • Notice should be provided to all users of any library use of PII.
    • Any use of PII beyond circulation or administration should be authorized only on an opt-in basis. At the time of registration, users should be asked to opt-in to additional and specifically enumerated uses of their PII (e.g., for fund-raising appeals). The PII of those who decline to 'opt-in' should not be made available for any additional uses.
    • Any time a library decides to extend use of PII in ways not already authorized, it must seek user opt-in. Libraries should presume that all non-responders wish to opt out of the new use.
    My question is how do you add people to your library's fundraising email list? Do all new library card holders automatically get added, then have the option of opting out, or do you ask people when they register for a library card if they would like to be added to the fundraising email list or do you have some other procedure? If patrons are added automatically, do you inform them of this upon issuing them a library card? I'm trying to help create a privacy policy for my library and I'm trying to determine if we need to change our current practice.

    The Louisville Free Public Library has a checkbox on their library card apps that says "Yes, I want to help support the Library! Please send me information about the Library Foundation and The Friends of the Library."

    They only get added to the email/mailing lists if they check this box.  Other apps get shredded after they are entered into the system.

    The Lewisboro Library automatically adds new patron email addresses to our email newsletter list when they sign up for a library card. They can easily opt out by unsubscribing when they receive the first email.

    We have a check box on the library card application form.  The disclaimer says something along the lines of "this information will not be shared or sold to any other group".  We use the contact info to send out news of library programs, early closings due to weather conditions, etc.  We don't use it for fundraising at all.

    Patron records should be kept absolutely private. Not compromised with mailing lists. Perhaps a library sponsored events mailing could be offered as an opt-in. Personally, I do not even want the computer matching me with books I might like. And fundraising through patron memberships and records? Strong armed for additional funds when you sign up for a library card? A poor idea. Seems very intrusive.

    Public libraries are only “entitled” to the funds that are provided by public money. Form a Friends of the Library group who pay dues, solicit gifts, publicize and put on fundraisers.

    Our library systems has a specific check box if the patron wants to receive additional information/material about supporting the library.  The specific verbiage is: "I would like to support the ABC Library by joining the Library Advisory Board's advocacy email list."  Otherwise we don't automatically add someone to the list.

    The Goffstown Public Library has a newsletter sign-up form we fill in by verbally asking patrons if they would like to get emailed when they receive their library card. We only send emails through card accounts that patrons were not previously informed of, specifically, when sending reminders of upcoming programs that they have already signed up for themselves.

    I would suggest asking about the fundraising list at the stage of obtaining a library card, and just include it in website postings or newsletter messages to recruit existing patrons.
