I'm not clear when you want us to have read and reviewed these documents by. I am unable to make this afternoon's meeting and would need more time to thoughtfully review these documents.

Here is the update on ACRL Framework for Academic Librarian Employment and Governance Systems: Current. Additional work required as recommended by ACRL Board on April 3, 2018 1/10/19 2019: Task Force to review the Guidelines for Academic Librarian Employment and Governance Systems was formed in December. I am a member representing the Standards Committee. We have begun meeting and have two meetings scheduled for this month to begin to review the documents. Because of the late appointment of the task force the board has extended appointments and deadlines:

"To extend the term of the ACRL Status of Academic Librarians Standards and Guidelines Review Task Force through June 30, 2020
Move the deadlines in the task force's timeline forward as noted below. Date interim report is due: Interim reports are due to the ACRL Board of Directors at the Spring 2019 Executive Committee Meeting and the 2019 ALA Annual Conference.
Date final report is due: The final document should be submitted for ACRL Board approval within six months of the draft being circulated for comment and no later than the 2020 ALA Midwinter Meeting."

    Good day, Kim, everyone,

I spoke with Elizabeth Call, Co-Chair of the ACRL/RBMS-SAA Joint Task Force to Revise the Statement on Access to Research Materials in Archives and Special Collections Libraries.

Liz and her committee formed a joint task force with SAA. Liz mentioned the goal of the Task Force was to address digital and born digital materials (unmentioned in the current version of the Statement) and to streamline the document for maximum usability. To that end the Task Force removed ambiguous language, acknowledged the range of repository types, and methods for utilizing the guidelines. The task force also removed redundant or outdated information.

Liz provided me with the following information about the statement:

    Changes to Statement:
    • Changing name from Statement to Guidelines.
    • Addressing born digital materials.
    • Revising the structure into bulleted points.
Two main questions about the statement her committee would like comment on:
    • Do you agree with the changes the Task Force has proposed?
    • Is there anything you think anything is missing?
    Task Force Timeline:
    • Open call for virtual comments and feedback from Friday, 1/25 through 5pm (CT) Friday 2/15.
    • Meeting at ALA Midwinter, Seattle, WA on Saturday, 1/26, 1-2pm (PST), Hyatt, room 505.
    • Task Force members to review and address comments and make any changes if necessary.
    • Finalize and submit for approval by June.
The statement is now out for public comment.

Liz was most gracious in supplying me this information and I thanked her on behalf of the Standards Committee.

Attached you will find the ACRL/RBMS-SAA Guidelines on Access draft.

    I will update the spreadsheet.

    Enjoy your weekend.

The Task Force did a great job reaching out to their constituents throughout all the phases of their work. The completed document looks fine to me, as well. My only question is procedural: is this a joint document between ACRL RBMS and SAA? If so, I believe there needs to be a reference to ACRL board action that approved the joint task force prior to its start. This came up during another RBMS/SAA joint document. I also think that fact should be included in the transmittal sheet and the document.

Nancy thank you for your thoughtful feedback.

I will have to defer to David on clarification on whether this is a joint document and next steps to update the transmittal form.

All other thoughts and recommendations are welcome.

    Thanks again,

The document, Guidelines for Standardized Holdings Counts and Measures for Archival Repositories and Special Collections Libraries, is well written and comprehensive. I agree with Nancy and applaud the SAA-ACRL/RBMS Joint Task Force effort to provide all interested and concerned parties an opportunity to discuss, contribute/comment on the document throughout its life cycle.

I concur that the document is well done and I find it easy to follow.
I approve, contingent upon the appropriate chain of approval for joint documents in the transmittal form.

I agreed with Nancy, Scott and Katherine that this guidelines is well-written. As a joint guidelines document subject to approval by ACRL and the Society of American Archivists, both organizations should publish the final version once it has been approved by both organizations on their respective websites.  I hope this is noted in the transmittal sheet. In general, I approve the guidelines.
