    Dear ACRL Division-level Committee Leaders,

     

    The spring and early summer are often busy times, so here are some reminders and early notifications about upcoming events and deadlines to help you finish the 2018–19 membership year successfully.

    Spring Board Documents: Due March 29, 2019

    The Board will be meeting virtually on April 25, 2019, from 1:00 – 4:00 p.m. CST for its Spring Board Virtual Meeting. To submit a document (e.g., petition to establish a new ACRL unit, funding request, resolution, task force report, etc.) for Board consideration, follow the below steps.

    1. Complete a Board of Directors action form or discussion form working with your ACRL staff and Board liaisons. Requests for supplemental funding should comply with ACRL Policies and Procedures.
    2. Email your Board action form and supporting documents to Allison, with copy to your staff and Board liaisons by the deadline. If you need an extension, contact me in advance of the deadline so that space can be allocated in the draft Board meeting agenda.

    Please expect an email acknowledging receipt of your submission within one business day of submission. If you do not receive a confirmation, please email again or call me at 312-280-2519.

     

    2019 Midwinter Notes/Minutes – Now Due
    Committees that met in-person or virtually during the 2019 ALA Midwinter Meeting in Seattle should post their meeting notes/minutes (drafts are acceptable) as public posts in their ALA Connect community and email them to apayne@ala.org for the historical files.

    Reminder: Official minutes should aim to capture the conversation at a high level and not attribute specific comments to any one person. For tips and pointers, please review Eli Mina's, ALA Parliamentarian, Making the Meeting resources on the ACRL website (login required).

    SAVE THE DATE!
    ACRL Leadership Council at Annual Conference: Friday, June 21
    You are cordially invited to attend the ACRL Leadership Council & Membership Meeting on Friday, June 21, 2019, from 1:30–3:30 p.m. in Washington, DC. You are also welcome to join a pre-Leadership Council Community Social from 12:30–1:30 p.m. for lunch and an opportunity to interact informally with fellow ACRL leaders. An RSVP form will be sent closer to conference.

    Virtual Meetings
    If a committee is meeting virtually, an agenda should still be submitted to me and posted to ALA Connect at least 10 days before the meeting. The meeting notes should be submitted to apayne@ala.org and posted to ALA Connect 30 days after the virtual meeting.

    Note: This applies to virtual meetings that take place throughout the year, not just around ALA conference time.

    Need to request use of ACRL's virtual meeting software? Committees are welcome to schedule use of ACRL's software through this handy online scheduler! Please submit requests at least 10 days in advance, and consider allowing as much lead time as possible during the very busy virtual meeting season surrounding conference. 

    ACRL Virtual Leader Orientation for Committees
    In May 2019, ACRL will hold a Virtual Leader Orientation to help orient new committee chairs and vice-chairs, who will begin their terms on July 1, 2018. Current leaders are also welcome to attend for a refresher. The orientation will be a flipped classroom, with pre-recorded content distributed in advance, and a live Q&A in May. More information will be sent in the coming weeks.

    Year-end Reports & Work Plans
    Staff will be in touch in May with instructions and templates for your 2018–19 year-end report and 2019–20 work plan. As committee leaders, you'll be working with your Board and staff liaisons to complete these in the summer.
