    The spring and early summer are often busy times, so here are some reminders and early notifications about upcoming events and deadlines to help you finish off the 2015–2016 membership year successfully.

    SAVE THE DATE!


    ACRL Section Leader Orientation: Tuesday, May 17
    ACRL Interest Group Leader Orientation: Thursday, May 19


    As an ACRL CoPA leader, you are invited to participate in ACRL's online CoPA Leader Orientation sessions. These hour long sessions are designed to review ACRL deadlines and work processes for the coming year.

    New this year! Sections and interest groups will have two separate orientations, so the session content can be tailored to each unit type. Please watch for an official invitation.


    Board Documents for Annual Conference - Due June 3, 2016
    To submit a document (e.g., petition to establish a new ACRL unit, funding request, resolution, task force report, etc.) for Board consideration, follow the below steps.



    1. Complete a Board of Directors Action Form working with your ACRL staff and Board liaisons as appropriate. Requests for supplemental funding should comply with ACRL Policies and Procedures.

    2. Email your Board Action Form and supporting documents to Allison, with copy to your staff liaison, and your Board liaison by the deadline. If you need an extension, please contact me in advance of the deadline so that space can be allocated in the draft Board meeting agenda.


    Please expect an e-mail acknowledging receipt of your submission within one week of submission.  If you do not receive such a confirmation, please email again or call Allison at 312-280-2519.


    2016 Annual Conference Meeting agendas - Due June 10
    All committee meetings at the 2016 ALA Annual Conference in Orlando should post their agendas (drafts are acceptable) by June 10 as public posts in their ALA Connect community and email them to mgriffin@ala.org for the historical files.  Note: If a committee is not meeting, an agenda is not needed.


    SAVE THE DATE!
    ACRL Leadership Council at ALA 2016 Annual Conference: Friday, June 24
    You are cordially invited to attend the ACRL Leadership Council session on Friday, June 24, 2016, from 1:00–3:00 p.m. in Orlando. You are also welcome to join a post-Leadership Council Welcome Reception from 3:00–4:00 p.m. for light refreshments and an opportunity to interact informally with fellow ACRL leaders.


    2016 Annual Conference Meeting Notes/Minutes - Due July 24
    All committee meetings at the 2016 ALA Annual Conference in Orlando should post their meeting notes/minutes (drafts are acceptable) by July 24 as public posts in their ALA Connect community and email them to mgriffin@ala.org for the historical files.


    Reminder: Official minutes should aim to capture the conversation at a high level and not attribute specific comments to any one person. For tips and pointers, please review Eli Mina’s, ALA Parliamentarian, Making the Meeting resources on the ACRL website (login required).


    Virtual Meetings
    If a committee is meeting virtually, an agenda should still be submitted to me and posted to ALA Connect at least 10 days before the meeting. The meeting notes should be submitted to mgriffin@ala.org and posted to ALA Connect 30 days after the virtual meeting.


    Note: This applies to virtual meetings that take place throughout the year, not just around ALA conference time.


    Plan for Excellence Implementation Reports: Due July 22
    In May, staff will send the link for CoPA units to report the activities, programs, and initiatives that your unit carried out in support of the ACRL Plan for Excellence from July 2015 through June 2016.  Section chairs should plan to submit for their section, and interest group conveners should submit for their interest group.
