    Dear ACRL Communities of Practice Leaders,


    It’s that time of year again. On Tuesday, August 23, the meeting submission process will begin for the 2017 ALA Midwinter Meeting, which will be held in Atlanta, GA from January 20-24, 2017. 

    As you may already be aware of, ALA has a software system that ACRL staff will use to submit your Midwinter Meeting requests.  In an effort to have all sessions entered by the ALA deadline, staff will enter your meeting information for you.


    Section chairs, interest group conveners and discussion group conveners will need to let me know if your group will be meeting at MW17 by September 9No meetings will automatically be scheduled this year, unless we receive your confirmation.


    Please have your Midwinter Meeting room requests to me via email by Friday, September 9 per the following guidelines.


    Step One:




    • Review your meeting schedule from the 2016 Midwinter Meeting (PDF attached).






    • Review attached meeting timeslots and no conflict times.




    • Determine if your committee(s) will meet at the same time at MW17 as it did for MW16.




    Step Two:



    • If you want to keep your MW16 time and A/V for your MW17 meetings, you must confirm with me and I will schedule your meeting to replicate the MW16 schedule as best as possible.

    • If you want to meet at a new time: Email your specifics as follows to me no later than end of September 9:


      • ACRL Committee Name:

      • Meeting Date:

      • Meeting Time (Start and End):

      • Expected Attendance:

      • Room Set (Theater, Conference <20, Hollow Square-25-40 or Banquet Rounds-Rounds of 10:

      • Specific AV Requests (i.e., Computer, Projector, Screen, ( Microphone-Must have more than 40 attendees):


    • If your unit will meet virtually for MW17, please let me know.


    Questions about virtual participation at Midwinter and virtual meetings?



    • There is “limited support” for blended meetings (on-site and virtual) through the Skype kit that can be requested. If you choose to offer a blended meeting, it will be the responsibility of the meeting attendees/chair to ensure everything runs smoothly.

    • Please note that it is not mandatory to attend conference. If your committee should choose to meet virtually, please contact me if you are interested in scheduling a virtual meeting using ACRL’s Adobe Connect or WebEx software. Complete details regarding virtual meetings, including the request form, are available at online. It is recommended to conduct virtual meetings before or after Midwinter Meeting to better accommodate all schedules.
