eCommerce Launch

eCommerce Launch

ITTS and MACS collaborated in a soft launch of the new Join/Renew/Donate ecommerce system and recently changed the Membership, ala.org utility links and member renewal notices to point to the new site. While we are still working through the occasional obscure use-case bug, on the whole the new site has launched without fuss or complaints. Ron reported that he received a few compliments about how good it looks and how much easier it is to use. Action item: Louise to prepare a communication about Join smartlinks for the divisions. ALA Store, eLearning & the new eStore Project Manager

ITTS has welcomed Steven Pate as our Publishing/ITTS eStore Project manager. When appropriate, Steven may bring progress reports to WMG. He will also be scheduling stakeholder meetings as needed.

Although combining the eStore and eLearning projects makes sense, some restructuring of plans and wireframes have been required by the change. Store wireframes are being reviewed by ITTS. Designs will be shared when feedback has been incorporated.

Redesign Progress

ITTS has made two reviews of the migrated sites on our vendor's servers, resulting in migration script changes. We are about to work through the third round. Because a great deal of manual work has to be done by ITTS staff both prior to and immediately following the migrations, scheduling the final migration to take place on ala.org will occur after Midwinter Meeting. Once sites are migrated, all server updates can be made, and we'll be able to work through a rolling re-theming of the reconfigured sites. Action item: Louise to prepare a communication so that units know what to tell their members at Midwinter. [Louise: Sent 1/13/2017.]

YMA Readiness

ITTS reported that we are prepared to make the website changes required to keep the site running through the heaviest traffic spike of the year, January 23, the day of the Youth Media Awards and the subsequent day.

Discussion

The pace of progress on the ALA website redesign (due to resources needing fairly constant reassignment to keep up with new priorities) has caused some frustration that leads people to seek and sometimes implement quick, simpler solutions. Our discussion question was: We have had new adjunct sites launched without reviews for branding and accessibility compliance. Should some informative sessions and/or a unit manager 'tour' of the various tools that have been developed be scheduled?

It is clear that materials are scattered and need to be organized to make it easier for staff working on web projects to know what they are supposed to do. We also realized that although we have an existing policy, we also need a process: An ongoing solution could be a community of practice across ALA, and regular (calendared so they aren't forgotten) reminders from ITTS about the guidelines. More to come. Action Item: Sherri to discuss with Mary G. some simple fixes to the site we discussed that would  add the required ALA branding and top-right links as an interim step toward branding compliance.

Site Improve Demonstration

We viewed a demonstration of the SiteImprove tool, which scans the site every five days and agreed that its ability to provide web editors with a dashboard of their broken links, accessibility violations, misspellings and SEO issues would help our staff and member-volunteers make corrections and train them to do a better job overall. The tool can be integrated with single-sign-on to provide editors with immediate editing access to the Drupal page with the problem. Action item: Louise to get pricing for possible incorporation into the fiscal 2018 ITTS budget. Dues & Donations eCommerce Soft Launch 

ITTS successfully ran two renewals and a join (with included donations) through the new ecommerce system. Plans for soft-launching the new system to a portion of members with November renewals (sent out mid-September) are in the works. For the next few months, ITTS will be running both the old and new systems.

eLearning 

eLearning was delayed while we addressed issues that expanded the project beyond the initial conception. We believe we now have acceptable plans for webinar, blended and in-person displays. We now hope for an early calendar year 2017 launch.

ALA Store

The contract for the new ALA Store has been signed. The vendor's project manager will be meeting with stakeholders and ITTS at ALA on 9-19. We expect to leverage the work done on eLearning and Dues and Donations eCommerce, and hope for a spring 2017 launch.

Responsive Redesign Timeline & Stakeholder Scheduling

We finally have a timeline with an expectation that the project will launch prior to Midwinter 2017. To save resources, the vendor will be providing an accessible, responsive theme, but ITTS will be implementing the theme on each of the microsites. The vendor has been upgrading back end server builds, including the version of PHP in use. We are close to the point where ITTS will build three new development, quality assurance, and production servers and transfer the site content to the new builds. This work must be done prior to being able to re-theme the sites. ITTS will also be editing menus while the vendor migrates those sites designated to new locations as we work to streamline the information architecture to be more mobile-friendly. ITTs will also be developing the I am ALA content type.

Email Marketing Community of Practice

Mary Mackay reported that Julianna Kloeppel will be working with hands-on Informz users to establish a community of practice of those who do email marketing on ALA's behalf.

Being Prepared for an Accessibility Challenge: A collaborative project with HR, Finance & WMG

WMG will provide oversight of the web portion of this larger project, which will be looking at developing policy for all relevant situations. We need to spell out how staff should comply with WCAG 2.0 on websites and other online interactions. Louise will be collaborating with additional staff to draft a policy that covers exactly what should be done and how to handle violations; when to provide mandatory training/retraining to staff content managers; and whatever else we can think of to prevent problems and be prepared in the event that ALA ever has to handle a challenge.

Dues & Donations eCommerce

We are very close to user acceptance testing and a soft launch that will have Member and Customer Service staff testing the system by inputting mail and phone orders.

We have resolved the vast majority of the technical issues that were needed in order for the system to be built. We went back to our stakeholders to confirm the content designs for the three workflows (virtual, blended, in-person). 

ALA Store

We are awaiting vendor feedback on the changes that Publishing and ITTS collaboratively made to the Store Requirements document.

SEO & Search

Louise provided a demo of the newly installed Meta Tags module, which automatically fills custom metadata fields in Drupal that are used by search engines, various social media sites, Dublin Core, Open Graph, mobile, and other standards from the page content. We will need to add some additional fields, including a search engine image field, to most content types to take full advantage of what the system can do.

We are also preparing to do a rolling launch of sites to the Google Search Appliance.

Review of Proposal for Policy on ITTS Review of Proposals/Contracts

We edited the form during the session: http://www.ala.org/support/itts-contract-sign. This initiative is now ready to be reviewed. Action item: Sherri to request agenda time to present to the senior management group.

Google Analytics Store/Membership/Website Issue 

The issue is that multiple Google tracking ID numbers are in use across our web properties. This makes it impossible to track cross-channel initiatives. With membership going to a new ecommerce system, we're having the current store analytics ID added to that account. Should the ALA website also use that tracking ID? 

As requested, Louise spoke to Dan Kaplan. He stated that the store definitely uses the information from the tracking ID and would like to continue to do so. We agreed that to prevent the store being overwhelmed by ala.org data, ITTS would have to create path based sub-groups similar to what we have now. WMG supports this change to coincide with the responsive redesign launch, with ITTS downloading existing analytics reports on a year by year basis and adding to the Share drive for those units that might want to view historic data. Action item: Louise to arrange for Sean Bires to download data.

Write for ALA

The Write for ALA page was created with what Laurie Borman sent over so far: http://www.ala.org/aboutala/contact-us/write-ala. Action Item: Louise Gruenberg to request that Laurie continue working with units so that the page provides complete information for all of ALA.

Responsive Redesign Timeline & Stakeholder Scheduling

The current timeline calls for a launch of the homepage of ala.org in September, with rolling conversions of division and separately themed microsites to follow. Action items: Louise to schedule redesign planning meetings with Division Directors & Web Leads some time after Annual conference, when we have a prototype to show them. Louise to also provide timely announcements of progress so that I am ALA can be ready to go. Round Table sites to be reviewed for compliance with ALA branding guidelines.

Dues & Donations eCommerce

Our vendor is working on the bugs and user experience changes discovered during the recent testing by members of the Executive Board, Website Advisory Committee and ALA staff. When the everything is ready, we'll retest before releasing. If the timing is right, Senior Management will assist with the next round of testing. Dues & Donations will probably be launched following Annual Conference.

eLearning

ITTS and our vendor had to overcome some technical challenges related to how the event web services work with iMIS. 

ALA Store

ITTS was awaiting feedback from Publishing on the discovery documentation at the time of this meeting. Since then, we have received feedback and scheduled a joint meeting on 6/7/2016 to discuss issues related to digital workflows, customer service and reports.

SEO & Search

ITTS has been proceeding with the implementation of the Google Search Appliance. As previously requested, SEO fields have been made required on all relevant content types. Since our meeting, ITTS has made progress on the installation and configuration of the Drupal Metatags module, which uses tokens to automatically populate standardized metatag fields in formats including Basic Tags, Open Graph, Facebook, Twitter Card, Dublin Core, Mobile & UI, Google+, Apple & IOS, Android, Windows & Windows mobile. These metatags will be used by the search appliance. Action item: Ask Julianna Kloeppel to develop a training video on SEO.

Web Support Vendor Transition

ITTS is switching web support vendors during June. This brings support under the perview of the same vendor working on our development projects. 

Accessibility Accommodation Policy Project

While ALA has a policy about complying with WCAG 2.0 compliance and a legal requirement to provide reasonable accommodation in both the physical and virtual realms, staff members don't always understand the implications. Mark Leon, Dan Hoppe and Louise met to explore what should be done in relation to developing an ALA Accessibility Accommodation Policy with suitable guidelines for how to handle requests. We will be requesting Senior Management approval of the initiative and expect to convene a working stakeholder group following approval. More to come.

Proposal for Policy on ITTS Review of Proposals/Contracts

"When asking an ALA senior manager to sign a contract, the unit generating the contract will supply a signed form indicating that ITTS has been consulted and any ITTS-related components of the contract have been identified and taken into account."

Action item: The draft version of the form is available for WMG review. Sign in with your staff ID at http://www.ala.org/support/ and then go to http://www.ala.org/support/itts-contract-sign, and review the entire form, including the ITTS only section. Wording changes gratefully accepted.

Results of Member and Staff Testing of Join-Renew-Donate were distributed. On the whole it went very well. The updated figures, as of 4-10-16: Members reporting they liked it (1/3 of participants) or strongly liked it (2/3 of participants). ITTS was aware of and had already reported accessibility issues, which were corroborated by our accessibility tester. Accessibility issues and reported bugs must be remediated before launch, as ITTS must re-test to confirm all changes.

Alt Tag Initiative

We had a brief discussion of the results of the Alt Tag initiative. WMG strongly supports making alt tags required, so that content managers can't forget to include them.

Alt tags are required in Drupal 8, and it is expected that during the next 5 years, many platforms will build in better accessibility and work to WCAG 2.0 standards.

ITTS will look into what would be involved in making the change to the WYSIWYG editor.

Requiring SEO Fields & Incorporating Schema.org

WMG also stated its strong support for these initiatives. ITTS reported that although there is a ticket into our support vendor, the project may be delayed as we will soon be in transition from one support vendor to another.

Enterprise Search and the Website Inventory Project

Louise reported that the results of the web inventory are now being used to put together collections of unit resources for enterprise search.

Decision: How to aggregate information soliciting authors, and where to make it available.

Laurie Borman proposed that there be a link on the ala.org homepage to guide potential writer/contributors to the guidelines and policies for manuscripts for all ALA publications.

We agreed to the following:

  • Add a Write for ALA link in the ALA footer, so that it is available everywhere.
  • Ask Laurie to work with the relevant stakeholders to ensure that the pages exist, and as much as possible, follow the same layout in the flow of the information and headings.
  • When provided with the links, ITTS will add the links to a landing page, probably placed in About ALA. This is the page that the footer link will go to.

Sherri Vanyek reported that working from the code base on our vendor's server, ITTS has been doing extensive testing of the five functionalities (renew, join, rejoin, pro-rated add-ons, donate) across the relevant member types of the eighty total personal, organizational, and corporate member types that the system will handle during phase one. As new bugs are discovered and repaired, testing is repeated.

Sherri Vanyek reported that working from the code base on our vendor's server, ITTS has been doing extensive testing of the five functionalities (renew, join, rejoin, pro-rated add-ons, donate) across the relevant member types of the eighty total personal, organizational, and corporate member types that the system will handle during phase one. As new bugs are discovered and repaired, testing is repeated.

ITTS has also been testing pay by credit card and PayPal, but still has to complete and then test the set up of installment payments, which required some custom development, and finish testing the use of purchase orders for invoicing. When these final items are in place, ITTS will move to user acceptance testing.

ITTS also has development, QA and production servers built. When the code base is stable, ITTS will refresh it from our vendor's site to ours for final testing before launch. We believe we're on target for a launch by the end of February. As part of the launch, ITTS will have to identify and plan for the updating of various Join links built into the ala.org structure, and assist the divisions with the installation of smartlinks that add the division into the user's cart when Join is selected.

eLearning

Mary Mackay reported that design comps for the new system were presented to the online learning staff group recently and were very well received. A longer, more in-depth session is planned for February 16 and all are welcome to attend.

ALA Publishing's special need to have items display on eLearning but checkout via the existing ALA Store were not included as part of this first iteration.

If all goes well during development, eLearning should launch at the end of May.

Responsive Redesign

Louise Gruenberg reported that the representatives to the Division-Centric Responsive Redesign group were scheduled to meet on Monday, February 8 to review the proposed layout of the division options and to discuss what elements of global menu organization and labeling could be made consistent across all the division sites. Once the divisions have an agreed upon plan, development can go forward.

Sherri mentioned that the approved version of the ALA Responsive Redesign was shared with unit managers in December and again in February. There is a feedback form; comments have been positive.

Search Changes & Metadata

Louise reported that ITTS is working on a phased plan to improve search that includes an expansion of search to all web-based resources, regrdless of content management system or location ("enterprise search"). Because quality search results continue to rely heavily on metadata, to reduce the demands on staff time, ITTS is looking into incorporating schema.org modules on our Drupal and WordPress sites and also the use of an entity extraction system that would auto-generate terms to be approved by human content managers.

Accessibility Initiative: Images & Alt Text

Keith Michael Fiels requested that ITTS run a report of missing/null alt tags on the images on ala.org. The report has been shared with unit managers and many content editors have already begun remediation. ITTS' new eLearning Specialist, Julianna Kloeppel has begun work on a training recording that will cover adding alt text on images installed on web pages, in Microsoft documents, and on PDFs. ITTS is also working with the ALA Library, which will host collaborative work sessions for any staff members who wish to attend.

WMG will submit a request to the Senior Management Group to amend the role-based make-up of WMG so that Jeff Julian can join WMG as our PAO representative.

Web Presence Management

ITTS often learns about web based projects when asked to provide last-minute support. We discussed concerns related to several projects that were not brought to WMG's attention as they should have been, given our mandate. More to follow.

  • eLearning, Mary Mackay: Ian Lashbrook has been hired to be the key contact on the project. Having a vendor familiar with the ALA infrastructure is saving some time. Mary is researching how other organizations handle group registrations and the collection of individual contact information. She noted that the use of images on elearning listing pages is not user friendly when all the content on a page is from the same unit using the same artwork.
  • Content Lifecycle, Louise Gruenberg: This project is on hold until at least January, while ecommerce, elearning, and the responsive redesign take priority.

Review of Responsive Redesign Comp Incorporating ALA Board Changes 

  • Board feedback has led to several changes to the original layout, including the addition of an Equity & Inclusion area. We discussed the draft changes as prepared by Sean Bires and requested a label change, the repositioning of some of the curated content areas, and made a decision related to how to handle co-branding on slide images (see below). The desired changes have been incorporated into the attached design comp. Note that the final slide template will likely be developed with a smaller ALA logo option.

Possible Changes to ALA Search

  • Due to unhappiness with the ALA search experience, ITTS ran a series of single word and phrase searches to compare results from Solr with domain based Google advanced search.  We need to take action to make immediate improvements while we await a report from our Apache Solr consultants, who will be working with ITTS in December. Senior Management determined (and WMG is in concurrence), that we should try the following measures:
    1. Switch from Apache Solr to using Google web search instead, with the search boxes set to search the domain of ala.org.  
    2. Make metadata required on most content types.
  • ITTS has begun testing a Drupal module for the change to domain based Google search, and will begin the process of working with our support vendor to make the metadata change.

Branding & Graphic Standards for Homepage Slides

  • At the board meeting, we were strongly urged to require co-branding on slides to ensure that the relationship to ALA is clearly expressed. We decided to require the use of the long ALA logo across the bottom of the slide. This will be built into the slide template, and slides submitted for homepage display will be required to use the template. Font and palette requirements are yet to be developed, but will also be launched in conjunction with the responsive redesign.

  • eLearning: We have a preferred vendor and an agreement. The template (being worked on by another vendor) is supposed to have changes made by mid-October. Louise to follow up with the vendor to ensure that they make the deadline.
  • Responsive Redesign: ITTS has reviewed design comps and is scheduled to speak at the Unit Managers' Meeting in October to present what units need to do to prepare their sites for the redesign.

Presidential Sites, the ALA Website Inventory & More ALA Sites

JoAnne Kempf asked for a recommendation for whether to enter the ALA Presidents' sites in the ALA Website Inventory form for inclusion on the More ALA Sites page. Our recommendation is that the Governance Office develop a landing page for listing available ALA presidential sites, and that the URL for that landing page be included in the More ALA Sites aggregation. This will reduce the amount of staff maintenance time required, as only the landing page will need to be updated, and the inventory form need only be filled out once.

Review of Design Comps for eCommerce Site

The group was pleased with the design comps, which are not text-complete.  The only graphic change is that some check boxes on single select member choices in the join flow will be changed to radio buttons.

Design comps for the page views and workflows were examined. This project is expected to be developed and launch in conjunction with the Responsive Redesign. With that in mind, it's important that the homepage/ALA microsites be prioritized in the rolling launch. 

Homepage & Responsive Redesign Update

The member email blast in Informz went out to 38,000 members, based on ALA communication preferences. 750 have taken the test.  Results indicate that members can locate resources, although there are some minor icon labeling issues and a strong preference for a re-location of the Division/etc. shortcut menu. ITTS has released the RFP to a select group of vendors. More to come.

Website Inventory Project Launch

Following that, the final version of the draft document will be submitted to all units for their feedback before adoption.

The Web Management Group (WMG) will be responsible for supporting ALA’s mission by strategically developing the ALA website into a 21st century communications and marketing tool. The WMG will consult with member groups and convene staff task forces as needed to:

−        Develop and maintain the site’s objectives and strategic plan.

−        Assist ITTS with the technology development roadmap for the site.

−        Review usability studies and make recommendations.

−        Approve homepage and/or theme changes.

−        Assist when site microsite stakeholders require assistance with planning and change management.

−        Identify areas where improvements in site organization and communications would be beneficial, and either work directly with stakeholders or convene a task force of individuals with expertise and interest in a specific area.

−        Evaluate proposed best practices and recommend their adoption.

−        Oversee the ongoing progress of special projects, such as homepage redesigns.

Positions on the WMG are tied to staff roles.
