Committee Charge


The NMRT President's Program committee plans, coordinates and delivers a program for the ALA Annual Meeting.


History of the Committee


The NMRT President's Program committee was created in 1983.

Committee History and Purpose


The Committee was created in 1983. Its purpose is to add a program of substance to NMRT's roster of activities during Annual Conference.


Procedures Used to Accomplish Major Responsibilities



  • In consultation with the NMRT President, decide on a program topic that will appeal to NMRT members, as well as the larger ALA community.

  • Secure speakers for the program.

  • Handle all publicity for the event.

  • Oversee the event.

General Timetable of Activities


June



  • If possible, attend the President's Program to get an idea of what was done the year before


July



  • Read through your Handbook and files to get an idea of the program process;

  • Consult with the NMRT President to learn her/his suggested program topics.


August



  • Collaborate as a committee to investigate & develop program ideas & descriptions;

  • Prepare Committee Planning Report for Executive Board & NMRT Archives.


September



  • Finalize Program Title & Description, give to the NMRT Staff Liaison

  • Provide reservation details to NMRT Staff Liaison: names and contact information of presenters; final audiovisual requirements; number of participants; seating arrangements; request for program to be in the convention center;


October



  • Contact potential speakers;

  • Delegate individual areas of responsibility among committee.


November



  • Determine who will moderate the event – NMRT President, Committee Chair or another speaker;

  • Design flyer for midwinter;

  • Interface with NMRT Web Committee to update committee website with program details;

  • Draft text of Speaker Confirmation Email including requests for a short bio and latest CV;

  • Send speaker Confirmation Email.


December



  • Email flyer to NMRT orientation committee chair (for midwinter conference);

  • Draft mid-winter report (Committee Progress Report);

  • Revisit program descriptions to include basic speaker information


January



  • Gather short bios & latest CVs from speakers. Make available to committee member working on publicity;

  • Review program description to make sure no changes are needed.


February



  • Submit Committee Progress Report for Executive Board & NMRT Archives;

  • Have speakers sign ALA Speaker Letter. Work with NMRT Staff Liaison for latest version;

  • Check with NMRT Staff Liaison about using any leftover funds for refreshment(s).


March



  • Create publicity materials:

    • Draft NMRT Listserv/NMRT Blog announcement & submit to committee for approval (http://www.ala.org/nmrt/socialnetworking);

    • Draft brief Twitter/Linkedin/Facebook/ALA Connect communications & submit to committee for approval (http://www.ala.org/nmrt/socialnetworking);

    • Prepare a program write-up to be included in the May Footnotes issue & submit to committee for approval;

    • Update committee website with any new program information & submit to committee for approval.




April



  • Re-introduce the speakers to each other and ask for outlines of their presentation;

  • Start designing assessment tool for program;

  • Implement publicity:

    • Submit program write-up to be included in the May Footnotes issue;

    • Update committee website with any new program information (contact NMRT web committee).




May



  • Finalize program assessment plan. Send electronic version of assessment tool to Chair so she can bring print copies;

  • Remind speakers about conference details;

  • Implement publicity:

    • E-mail NMRT Secretary with content for social media and a preferred posting schedule; the NMRT Secretary will then post your content;

    • Submit NMRT Listserv/NMRT Blog announcement to NMRT Secretary (via publicity request form);

    • Update committee website with any new program information (contact NMRT web committee).




June



  • Finalize any last minute details;

  • Enjoy the program!


Afterward



  • Request copies of presentations, and post presentations to ALA Connect & http://presentations.ala.org;

  • Review program assessments;

  • Update website - remove program details;

  • Thank speakers;

  • Chair writes thank-you letters for committee members;

  • Submit all bills to NMRT Treasurer;

  • Chair sends anonymous surveys to committee members to assess committee functioning;

  • Submit Committee Final Report to Executive Board & NMRT Archives;

  • Review Handbook entry for changes to timeline.
